What we are looking for

CoMotion is looking for a Program Manager to join the team! The Program Manager will report to the Head of Programming and to the Managing Director and will work closely with the rest of the CoMotion team, including the Marketing and Partnerships Teams. Under the direction of the Head of Programming, the Program Manager will lead the project and team management for the curation and delivery of CoMotion’s upcoming 2024 events: CoMotion MIAMI, CoMotion LA and other smaller events, as well as with the ongoing bi-weekly podcast series, Fast Forward. CoMotion’s portfolio of events and initiatives are growing, so there is also the potential for quick growth into higher-level responsibilities and a leadership role. The Program Manager must be comfortable working with international entities. 

Key tasks may include

Design and implement the concept and format for CoMotion events in coordination with the rest of the CoMotion team, ensuring that a cohesive programmatic vision and message is carried through all projects.
  • Manage and curate all program themes and sessions including workshops, panels, webinars, and site visits
  • Oversee the planning and curation of the CoMotion Fast Forward podcast series
  • Includes writing theme descriptions, session blurbs and other program-related text for marketing campaigns
Build and maintain strong relationships with Speakers and Partners, in coordination with the Partnerships Team
  • Work with key partners who are hosting workshops and / or speaking at events and on podcasts
  • Coordinate invitation process for workshops, networking events, and special receptions
  • Assist with organizing meetings of the CoMotion Global Strategic Council at CoMotion LA and CoMotion MIAMI events
  • If based in Los Angeles or Miami, represent CoMotion at local mobility events 
Create and maintain project management documents and systems to ensure programming activities are completed in an organized and timely manner
  • Timelines, task lists, program agendas, confirmed speaker lists, etc.
  • Maintain and grow an active idea base of potential speakers, themes, formats, and participants for events
Speaker Management
  • Work closely with the CoMotion team to brainstorm speakers
  • Manage and coordinate speakers within program from start to finish (sending invitations, placing in program, creating and sending speaker briefs)
  • Manage speaker logistics (confirming travel details, registering speakers to events)
Assist with program-related production and logistics
  • Coordinate with production team to ensure the venue/event provides all program needs (includes reviewing contracts for venues and group hotel blocks)
  • Create and update the Run of Show for all teams and lead pre-event logistics meetings
  • Lead stage management (includes training and overseeing other staff acting as stage managers)

Work closely with the CoMotion Marketing Team to coordinate program-related website updates, newsletter updates, and ensure maximum press coverage and impact for each event

  • Includes adding speakers and program agenda to the website and writing program-related marketing text
  • Maintain Zoom and Bizzabo accounts for online program content and meetings
  • Coordinate all post-event duties including thank you notes, post-event surveys and analysis, event debriefs etc
  • Oversee day-to-day management of Program Interns

Required Skills & Qualifications

  • Bachelor’s degree in a relevant field (ex: Urban Studies, Political Sciences, International Relations, History, Communication, Event Coordination); Demonstrated interest in urban mobility preferred
  • Minimum 2 to 3 years of experience in events or program curation, with at least 2 years experience in a project management role
  • Outstanding communication skills and ability to communicate with very high-level individuals in a professional, empathetic, and courteous manner through various modes in English (email, phone calls, Zoom, etc.)
  • Great writing and editing skills
  • Demonstrates strong organizational skills, time management skills, and high attention to detail
  • Excellent research, analytical and writing skills – ideally with a background/vested interest in urban mobility
  • Ability to work effectively in a small, internationally distributed team both collaboratively and independently, as well as manage and mentor interns and other junior staff
  • Dynamic, proactive, and creative with excellent problem-solving skills and the ability to adapt quickly
  • Google Drive and Microsoft Suite skills
  • Adaptable with the ability to manage multiple priorities simultaneously in high-pressure environments
  • Willingness to work flexible hours, as needed and travel internationally, as needed
  • French and/or Spanish are a plus but not essential

Salary & Benefits

Salary is commensurate with experience and will depend on location of residence, with the potential for bonuses. For US-based employees, benefits include 20 PTO days plus federal holidays, paid sick leave, and a monthly reimbursement for medical insurance. CoMotion is also open to considering more flexible, non-traditional schedules.
